VASFAA 2008 Conference Committee

            February 22, 2008

 

Attendees:  Jeanne Holmes, Pam Rambo, John Beard, Tamy Garofano, John Gordon, Hope Jackson, Patrice  Johnson, Tom Morehouse, Susan Moyers, Paula Rafferty, Vera Riddick, Carolyn Ward, Pat Redwood, Janie Knippenberg

                                                                                                                                                           

           The minutes of the December 12, 2007 meeting were reviewed and approved.  It was noted that one 

            committee member, Rebecca Parker, has moved from conference to diversity,

 

            Conference Charitable Organization

           Leaderdog has been approved by the Executive Committee as our charitable target organization for

           the 2008 conference.

           

            Conference Website

           The conference website is under construction and should go live by the end of the month. 

            Early registration rates end April 20.  The early registration rate is $160.  Thereafter the rate will be

            $190.

 

            Conference Agenda

            The conference agenda remains the same with the exception of one change.  The leadership

            symposium, previously scheduled for Sunday as a pre-conference, will be held on Monday

 evening. The only pre-conference activity will be the New Aid Officer Workshop on Sunday.

 The Diversity Committee has confirmed Tony Brown as a speaker at the Tuesday Luncheon.

 Tony will need a table in a convenient location to sign his book for those who wish to make a purchase after hearing him speak.

 

            Conference Decoration

 Paula Rafferty has some supplies to decorate the registration area.  She is working on the development of inexpensive table centerpieces around the sock hop/birthday theme.

 

Conference Food

The food committee is hard at work considering potential alternatives to the current menu to

remain within budget.  Food stations are being considered.  Their work will be concluded soon.

 

Conference Attendance

Conference attendance was discussed.  Recent state freezes on travel will limit some conference participation.  An electronic poll of members shows that about 100 members are sure that they will attend.  Committee members agreed that attendance is likely to be at least 200.  It was agreed that conference committee members should plan to be at the hotel by Sunday to stuff packets and

help with other tasks such as decoration.

 

Leisure Activities

Conference after hours leisure activities will include a Monday night bingo party, hosted by John Beard.  John is looking for a bingo game.  We need a couple hundred cards and a number machine.

 

 

 

We will also need to make sure members who may want to play bring school logo items for the prizes.  Also on Monday evening at the same time there will be a movie and discussion hosted by the Diversity Committee.  Seating will need to be theater style and we hope to get the most comfortable chairs available. 

 

President’s Reception

Getting a high school jazz ensemble, such as Woodside, to play at the presidential reception on Monday night was suggested.

 

Banquet Entertainment

Past VASFAA presidents will present a skit as banquet entertainment.  During the banquet, there will also be audio-visual entertainment using VASFAA pictures.   The banquet will be followed by a sock hop.  Mike Abernathy has agreed to bring an IPOD loaded with some sixties music as well as current top 40.  The Marriott has agreed to let us hook the IPOD up to their sound system.

 

Distinguished Guests

Our conference invitees include a representative of SASFAA who will welcome us Monday morning during our business meeting.  Later that morning we will have a treat when Greg Martin gives us the federal update as our conference first general session after the opening business meeting.  At lunch on Monday we will hear from State Senator John Miller. John is newly elected on an education platform and has a background in higher education and media.  The Executive Board recommended him and he has agreed to speak.  Our own Lee Andes will close the session with the SCHEV update.

 

Vendor Booth Setup

Vendors will be setting up booths on Sunday evening as the conference starts very early on Monday.
