Minutes/Report: DATE: September 22, 2006 - Conference Committee Report LOCATION: VA. Beach Oceanfront Hilton ATTENDEES: Vera Riddick Jolene Burke GUEST(S): Dana Baker Ann-Marie Savage MINUTES STATUS: On-going Jolene Burke and I met with Dana Baker and Ann Marie of the VB Hilton. We discussed areas that was noted as needing improvement for the upcoming annual conference, such as: increasing Hotel room blocks, verifing rooms for Saturday's meetings and the handling of vendors material that arrived beginning Wednesday the week of the conference. I also discussed and reviewed room setup for the upcoming conference. It was decided, if we went with the Casio night as planned there would be a room available along with Cottage Row. This would take place before the Dinner/Entertainment on Tuesday night. This will be a great past-time for the commuters as well as others that may be in other hotels planning to stay for the evening function. Much discussion was placed on the handling of vendor materials, the storage of the material as well as the manpower needed for set-up. Per the Hotel they are asking for VASFAA along with the\ Hotel to use a outside source to be responsible for the storing and setup. Ann-Marie is looking into it and should be getting back to me. I am strongly opposed to this extra effort and cost, as it was handled by the Hotel for the past two years. The Hotel is asking for VASFAA to split the cost if this is to change. The reason for the change per Dana is due to change in management of the storage area that was previously used (City of Norfolk has taken over mgmt). This is still being discussed. Per the Hotel room blocks: the block has been increased from 100 to 135 for however, I am still neogiating the additional block rate. The original rate is $109.00 however, the hotel is asking $159.00 for the additional 35 rooms. Still waiting on a call concerning that huge increase.
